Archiving users in HR
Who is this article for?Users who want to learn how to archive users in HR.
No elevated permissions are required.
When users leave the organisation, they can be archived. This means the user will no longer have access to the system and, unless specifically requested, will no longer appear in any reports throughout the entire Lucidity Software suite. This allows for more accurate reporting on current staff only.
1. Archive users

To archive users, from the People menu:
- Click Show Filters.
Note: This can be actioned from the All page, or from a specific Person Type page.
- Locate the individual by entering their name in the search field.
- Click Filter.
- Click Actions on the far right.
- Click Archive.
- In the pop-up box that appears, select Archive.
- Archived users can then be viewed from the archived People menu.
1.1. HR integration
For organisations where an automated integration is in place, employees would be archived automatically. This process will only be required for users not included in the integration, such as casuals and subcontractors.
2. Returning users
Users who return to the organisation can be unarchived. Follow the same steps from the Archived People menu. Any associated records, action items, Incidents etc associate with their user account will be reinstated.
3. Deleting users
Important: Users cannot be deleted from Lucidity HR.
If a user account requires complete removal from the system, this must be actioned by the system administrator via Lucidity Access. It is recommended that only accounts made in error, such as a duplication, are deleted and all others are simply archived.
