Viewing and managing notifications
Who is this article for?Administrators who need to achieve this specific goal.
Administrator permissions are required.
The Notifications page offers a comprehensive view of sent communications, allowing users to efficiently track and manage important updates across the system. This guide explains how to access and interpret notification information, while also exploring the relationship between notifications and user groups for streamlined communication management.
1. View notifications
To view previously sent notifications, from the Notifications page:
- Use filters to locate the specific person or date sent.
- Click View on the right side of the desired notification.
- The opened notification will display:
- Source module or application.
- Notification content, typically including:
- Issue date.
- Division.
- Project.
- Linking to a specific system section.
- Purpose of the notification (e.g., "You are the Closeout Manager").
- Related notification set (useful for discussions with Lucidity).
- Recipient.
- Read status (UNREAD or READ).
- Click Cancel to return to the notification page.
These refinements:
- Streamline the language for clarity.
- Use consistent formatting for readability.
- Combine redundant steps (original steps 1 and 2).
- Improve the structure of the content list.
- Remove unnecessary numbering within sub-bullets.
2. Notifications and User Groups
If groups of users are required to be a recipient to the same notification (for a particular form and incident category for example) this can be managed via user groups.
The initial notification must be created by Lucidity. From then, administrators can manage the recipients of the notification via the linked user group.
2.1. Scheduled reports
It is important to note that scheduled reports via the My Emails feature can also be utilised to notify users of additional information as required and are often a better option to avoid unnecessary spamming. It also allows for a collation and summary of data rather than a single notification per item.
