Editing, viewing and converting Induction user records

Administrators who want to learn how to edit, view and convert user records.
Administrator permissions are required.
Effective management of induction user records is crucial for maintaining accurate training data and ensuring compliance within your organisation. This guide explains how to edit existing user information, view comprehensive user profiles, and convert user types when necessary, keeping your Lucidity Induction system up-to-date and aligned with your evolving organisational structure.
1. Edit user

Administrators can view and edit user account details. End-users are also able to edit their own details, but there may be times when an administrator is requested to do this on behalf of the user.
To edit an existing user's account, from the User page:
- Locate the specific user using relevant filters.
- Click the User or Edit to the far right of the user.
- Edit fields as required.
- Click Save.
1.1. User names and passwords
Administrators can view and edit usernames but are unable to view user passwords for security reasons. In most cases, users should be directed to the Reset Password tool, however an administrator can reset a user password if required.
1.2. Mini menu
Whenever a user profile is accessed, a mini menu on the left-hand side will appear. User details, course records and course groups are all accessible this way.
2. View user records

User course records can be viewed from the Records page as well as directly from the user account in the User page.
To view user records, from the User page:
- Locate the specific user using relevant filters.
- Click Records to the far right of the user.
- Records will be displayed and all actions (edit, print, delete) are accessible and managed in the same way as from the Records page.
3. Convert users

Converting a user copies their details and completed records from Lucidity Induction across to Lucidity HR and Lucidity Competency. This allows users to access all other Lucidity applications as required, and enables administrators to manage additional training in Lucidity Competency, record incidents, and more.
Important: Only records with a course progress of Complete will be transferred. Incomplete or outstanding training will not be converted.
To convert a user, from the User page:
- Locate the specific user using relevant filters.
- Click Actions to the far right of the user.
- Click Convert.
- Select the Employee Type. This determines whether the user is listed as an employee, casual, or subcontractor in Lucidity HR.
🔄 Ideagen Hub — re-authentication on conversion
Converting a user will re-authenticate them via Ideagen Hub. Allow up to an hour for the conversion to complete.
Depending on your organisation's settings, you may also need to manually send the user a welcome email from Hub's Admin Console so they can set up their account.
- Click Save.
- The user's details will move from the User page to the Converted User page, and their details and completed records will be converted.
