Configuring user management in IntegralCS
Who is this article for?Administrators who want to learn to configure user management in IntegralCS.
CS Access User accountpermissions are required.
CS Access regulates control to the suite of Integral CS applications, and also allows configuration of core aspects of the system that are shared between application. There are 2 main sections within CS Access:
- Users
- Settings
In order to access any IntegralCS application, a person requires an appropriate CS Access User account.
1. User list and basic Actions
The Users tab allows management and creation of user accounts. From the User list page, you can:
- Export user details to Excel.
- Add new users.
- Delete user accounts.
- Edit existing user accounts.
- Browse users by the first letter of their username.
2. Creating and editing user accounts
2.1 Administrative details
To create a new user:
- Click Add New on the User list page.
- Fill in the administrative details:
- Linked Employee (create a new employee if not already present).
- Username (must be unique).
- Password (not displayed when editing an existing account).
To reset a password:
- Edit the account.
- Enter the new password twice.
- Save the changes.
2.2 User roles
User access is determined by assigned roles. To manage roles:
- Use the tabs to view roles for all available applications.
- Select roles at the bottom of the edit User screen.
- Any combination of roles can be selected.
- Only select roles for applications the user needs to access.
Note: The privileges defined by each role are combined to provide the user with access equal to the sum of all selected roles.
2.3 Standard roles
IntegralCS provides several Standard Roles when setting up new systems. These can be used as-is or customized upon request. The standard roles include:

| Manage Settings | Update global lists such as Project, Division, and State. |
| Training | Undertake linked training within CS Induction and view the My Training page (Automatically allocated to all Employees added to CS Human Resources). |
| Manager | Manage Training Records, Needs run reports etc. |
| Administrator | Configure site settings and manage the list of Capabilities. |
| Administrator | Create and manage Employee details. |
| Submit | Enter a new Issue. |
| Responsible Manager | Include the User as a Responsible Manager. |
| Closeout Manager | Include the User as a Closeout Manager. |
| Manager | Manage Issues, run reports etc. |
| Administrator | Configure site settings. |
| User | Undertake online training. |
| Manager | Configure site resources and setup (no deletion). |
| Administrator | Configure site resources and setup. |
| Manager | Create and manage Risk Registers. |
| Administrator | Configure site settings and manage the Master Risk Register. |
2.4 User scoping
Scoping restricts a user's access to certain records. It can be set by Business Unit, Project, or Division, and is controlled separately for each role.
Default setting: Users can see all records (unscoped)
To limit a user's scope:
- Open the Scoping popover
- Move entries from the left column to the right column
- The right column represents the current scope
Important: If there are no selections in the right column, the user remains unscoped and can view all records. To reduce the scope, add entries to the right column.
Example: If Business Unit_1 and Business Unit_3 are moved to the right column for the Administrator role, the user will only see records from these two business units when acting as an Administrator.
To modify the scope:
- Use the popover to change the selection.
- Double-click titles or use arrows to move items between columns.
3. Settings
The Settings tab allows a number of shared lists to be managed. These items typically are accessed by more than one IntegralCS application, and hence are centrally managed.
The items managed via this menu include:
- Division
- Location
- Business Unit
- Project
- State
- Country
