Using InForm email form records
Who is this article for?Administrators who want to learn to use email form records.
Administrator permissions are required.
Form records can be emailed to users with or without profiles within the system and can be sent to either to a single person, a group of people or to a user group from the form records page.
1. Email form records
To email a form record, from the form records page:

Locate the form record either from the List All page or via the specific form group.

Click Show Filters.

Apply required filters to locate the form record.

Click Actions on the far right-hand side of the form record.
- Click Send Form Record.
- The email popover will open.

Enter recipient email address. There are 3 options for entering email addresses:

Manually type the addresses:

Type the addresses in the To: field. Multiple addresses can be entered.

As each email is typed any matches from the user database are displayed.

If there is no match i.e. the email address is not for a user within the database, an option will. be shown to add the email.

Select individual addresses from the user database:

Click the Search emails drop-down.

A User popover will be displayed.

Select individual email addresses by searching in the list.

Click Done.

Select a User Group from the user database:

Click the search emails drop-down.
-
A user popover will be displayed.

Using the user group selector, select a user group to filter the list.

Once filtering is complete, click Select All or select individual users from the user group.

Click Done.

Enter a subject line.
-
Enter an email body.
-
Click OK.

Lucidity InForm attaches a PDF of the record to the email and sends to all recipient.
All emails are sent as a "BCC" from system@luciditysoftware.com.au so no recipient can see other recipients. Each user receives an individual email similar to the below.
Emails will have a copy of the form attached as a PDF. Any images that have been uploaded to the form will be included as images in the PDF. Other attachments are listed by filename in the PDF.
