Notifying your team about the Ideagen Hub and EHS Core migration (SSO login)
Who is this article for?
Administrators who would like to notify their team about the upcoming login change, including organisations with a mix of SSO and standard login users.
No special access or permissions are required.
As an EHS Core admin, you may wish to let your team know about the upcoming login change ahead of your migration date. This page gives you a ready-made email template you can copy, personalise, and send directly to your staff — for both the web platform and the mobile app.
The template below covers both SSO and standard login users. If all of your users log in the same way, simply remove the section that doesn't apply before sending.
✅ Before you send — one important check
Please make sure all of your users have a valid email address in their HR Profile in EHS Core. This is essential for all users — without one, a user's account will not be migrated to Mazlan Home (Ideagen Hub).
- Check email addresses are in place: In EHS Core, go to Access > List Users and confirm every active user has a valid email address in their HR Profile before your migration date.
📧 Sending welcome emails to your users
Once your migration is complete, we recommend logging in to the Mazlan Home (Ideagen Hub) Admin Console and sending welcome emails to all of your users. This lets them know about the new login screen and what to expect.
- SSO users will receive a welcome email with their new Mazlan Home (Ideagen Hub) URL. They can log straight in using their existing corporate credentials — no password reset required.
- Local (username and password) users will receive a welcome email from app@hub.ideagen.com with a link to set a new password. Please ask your IT team to whitelist this address to ensure it is not blocked.
👤 User roles in Mazlan Home (Ideagen Hub)
All users will be migrated with standard user access. Your EHS Core System Admins will be assigned Tenant Admin access, giving them the permissions they need to manage your Mazlan Home (Ideagen Hub) environment.
Ready-made staff email template
Copy the template below, fill in your own contact details, and send to your team before your migration date. We recommend sending it early so your team knows what to expect and isn't caught off guard by the new login screen.
Suggested subject line: Action required: EHS Core login is changing
Hi team,
We wanted to give you a quick heads up that our Ideagen EHS (Core) system (formerly called Lucidity) is moving to a new login platform — Mazlan Home (Ideagen Hub). This affects both the web platform and the mobile app.
How you log in after migration depends on how you currently access EHS Core:
If you log in using your corporate credentials (SSO):
Nothing changes for how you authenticate — you'll continue to use your existing corporate credentials. The next time you visit the login page after our migration date, you'll simply see a new-look login screen. Sign in using your usual corporate credentials as normal.
If you log in using a username and password:
You'll receive an email from app@hub.ideagen.com with a link to set up your new login credentials. This is a legitimate email from Ideagen — not a phishing attempt. If you're ever unsure, please contact [your name/contact details] before clicking any links. If you don't receive that email, select Forgot Your Password on the login screen and it will be resent to you automatically.
Using the mobile app? After migration, open the Ideagen EHS app and tap Log in with SSO / Ideagen Hub to sign in.
- SSO users: sign in using your existing corporate credentials as normal.
- Standard login users: use the password you set via your welcome email. If you haven't set it yet, tap Log in with SSO / Ideagen Hub and select Forgot Your Password from there.
If you have any trouble logging in, please contact [your name/contact details].
Thanks,
[Your name]
Tips for sending
- Replace the contact details placeholder with your own name, email address, or internal helpdesk contact before sending
- If all of your users authenticate the same way, remove the section that doesn't apply before sending — it'll keep the message simpler for your team
- We recommend sending this before your migration date so your team knows what to expect
- SSO users who can't log in after migration: contact your IT team to confirm the SSO configuration is working correctly.
- Standard login users who can't log in after migration: ask them to select Forgot Password on the login screen — this will trigger a new setup email to their inbox automatically. This does not apply to SSO users.
